ChatGPT is a drafting and thinking assistant for the text work you already do every day: replies, quotations, descriptions, notes and summaries. It does not know your prices, your stock or your customers unless you give it that information, and every output needs your check before it goes out. Used that way, it saves first draft time from the first week.
Start with one weekly job, not twelve. Give it your business context and one good example of your own writing, and check every name, number and promise in what it produces. On plans: the Free plan is enough to test, ChatGPT Go costs Rs 399 per month including GST, and Plus costs Rs 1,999 per month including GST, as of November 2026. Prices are date stamped because they change, so confirm yours on the ChatGPT pricing page before you pay.
The short version: the prompt formula that works
Most poor results come from poor instructions, not from the tool. A working prompt has six parts:
| Part | What to write |
|---|---|
| Role | Who it should write as. Example: "You are my sales assistant." |
| Audience | Who will read it. Example: "A retailer in Surat who buys from us monthly." |
| Task | The exact job. Example: "Draft a follow up message for this quotation." |
| Context | Your facts: catalogue extract, price list, delivery terms, policy |
| Format | Length, language, structure. Example: "Six lines, Hinglish, polite." |
| Limits | What not to do. Example: "Do not promise delivery before Friday. Do not offer a discount." |
Save the prompts that work. A small library of ten proven prompts is worth more to a small team than any advanced feature.
Set up in 20 minutes
- Create the account and write a one paragraph business brief: what you sell, who buys it, where you deliver, the terms you actually offer, and the tone you use.
- Save two examples of your own best writing: one WhatsApp reply and one email. Paste them as style samples when tone matters.
- Keep your current price list and catalogue in a file you can upload or paste from. ChatGPT can only quote figures you supply.
- On plans that support saved instructions or Projects, store the business brief once so you do not repeat it in every chat.
The 12 jobs
For each job: what to give it, a prompt skeleton you can copy, and what to check.
1. WhatsApp enquiry first replies, in English and Hinglish. Input: the customer's message and your business brief. Prompt: "Draft a reply to this enquiry in Hinglish, five lines, confirm the product, ask for quantity and delivery city, do not quote a price." Check: product name, quantity question, no invented price or delivery promise.
2. Quotation cover notes and follow ups. Input: the quotation figures from your own file. Prompt: "Write a cover note for this quotation table. Summarise the total, validity of 7 days, and delivery terms exactly as given." Check: every total against your file. ChatGPT formats and writes. It must never be the source of a number.
3. Product descriptions from a price list. Input: a price list or catalogue file. Prompt: "Write a 40 word description for each product in this list for our catalogue, using only the specifications given." Check: specifications, sizes and pack quantities against the source file.
4. Festival offer messages and captions. Input: the offer you have actually decided, with dates. Prompt: "Draft three short Diwali offer messages for existing customers, using only this offer and these dates, in simple English." Check: offer terms and end date. Change the festival and region to your calendar: Diwali, Eid, Pongal or your local peak season.
5. Email drafts for enquiries and introductions. Input: the incoming email and your brief. Prompt: "Draft a reply that answers the delivery question, attaches nothing, and closes by asking for the purchase order quantity." Check: names, dates and any commitment of stock.
6. Meeting notes into a task list. Input: your rough notes or a transcript you are entitled to use. Prompt: "Turn these notes into a task list with owner and date for each task. Mark anything unclear as unclear." Check: task owners and dates against what was actually agreed.
7. Spreadsheet help. Input: the formula result you need, or a messy list. Prompt: "Give me a formula that totals column C separately for each city in column A" or "Clean this list: remove duplicates and standardise city spellings." Check: run the formula on a small sample before using it on the full sheet.
8. Job posts and interview questions. Input: the role, pay range and must have skills. Prompt: "Write a job post for a dispatch assistant in Indore with these duties and this pay range, then list eight interview questions that test the duties." Check: pay, hours and location are exactly what you intend to offer.
9. SOP first drafts from your own notes. Input: your spoken or rough written process. Prompt: "Turn my notes into a step by step SOP for packing and dispatch. Keep my sequence, flag any missing step as a question." Check: the sequence matches how your floor actually works.
10. Customer FAQ answers from your own policy. Input: your returns, warranty and delivery policy. Prompt: "Write short answers to these six customer questions using only this policy. Where the policy is silent, say so." Check: no answer promises more than your policy allows.
11. Translation and tone conversion. Input: the Hindi or Hinglish text you want converted. Prompt: "Rewrite this in simple professional English, keeping all figures and dates unchanged" or the reverse, into Hindi for a customer notice. Check: figures and dates character by character. Translation errors hide there.
12. Reading a long document and listing what matters. Input: a tender notice, distributor agreement draft or supplier document you have the right to share. Prompt: "List every date, document required, fee and condition in this document, with the page or section for each. Do not summarise away any condition." Check: verify each item on the original document before you act. Use this to prepare questions for your CA or lawyer, not to replace them.

A prompt makeover, so the difference is concrete
Weak prompt: "Write an email to a customer."
That instruction gives the tool no facts, no reader and no limits. It will produce a polite, generic email that could belong to any business, and it may invent details to fill the gaps.
Working prompt: "You are my sales assistant. Write an email to a hardware retailer in Nagpur who enquired about our 40 mm pipe range yesterday. Use the price list I have pasted below, quote validity of 7 days, and delivery in 5 working days from order confirmation. Keep it under 120 words, simple English, no discount offer. End by asking him to confirm quantity so we can share the final quotation."
Same tool, same minute of work. The second prompt produces a draft you can check in one reading, because every fact in it came from you.
Which plan do you actually need
Prices below are as of November 2026. The ChatGPT pricing page rendered without rupee prices in our final check, so the India figures here rest on the standing verification for this series: Go at Rs 399 and Plus at Rs 1,999 per month, both including GST. Confirm the figure shown to your account at checkout.
| Plan | Price | Best use |
|---|---|---|
| Free | Rs 0 | Testing the 12 jobs, with tighter limits on messages, uploads and images. Current notes indicate ads may appear on free and Go tiers in India |
| Go | Rs 399 per month, including GST | Daily drafting for one person: more messages, uploads, images and voice, longer memory |
| Plus | Rs 1,999 per month, including GST | Advanced reasoning, deep research, Projects and custom GPTs, higher limits |
| Business | Per user pricing, listed in USD on the global page | Shared workspace, admin controls, and no training on your business data by default |
Payment note: UPI is available for Go and Plus in India, which removes the international card problem many owners hit with dollar billed tools. For a comparison with Gemini and Claude and a full AI stack cost, see best AI tools for a small business in India.
Rule of thumb: Go is enough for most single users who mainly draft. Pay for Plus only if you use deep research, complex reasoning or custom GPTs every week. A plan you use twice a month is a donation.
Worked example: does the paid stack pay for itself
Take a Coimbatore pumps and motors dealership: a proprietor and 4 staff, turnover Rs 2.5 crore. The owner personally writes all WhatsApp replies and quotation notes. Assume, as a planning assumption to test, that he spends 45 minutes a day on repeat drafting. This is an assumption for the test, not a measured result.
Step 1: Time in a month: 45 minutes multiplied by 26 working days equals 1,170 minutes, which is 19.5 hours per month.
Step 2: The share ChatGPT can realistically take is the first draft, not the checking. Assume half the drafting time is first draft work: 19.5 hours multiplied by 0.5 equals 9.75 hours, with checking time retained by the owner.
Step 3: Cost of the setup: owner on Plus at Rs 1,999 including GST, plus two staff on Go at Rs 399 each, which is Rs 798. Total: Rs 1,999 plus Rs 798 equals Rs 2,797 per month including GST.
Step 4: Cost per working day: Rs 2,797 divided by 26 equals Rs 107.58 per day.
Step 5: The break even test. If the owner values his own hour at an illustrative Rs 300, then 9.75 hours is worth Rs 2,925, which is Rs 128 above the Rs 2,797 cost. The stack barely pays. If only 5 hours are truly freed, the value is Rs 1,500 and the stack does not pay for itself. The correct response then is to drop to one Plus seat at Rs 1,999, or Go only at Rs 399, and retest for another month.
Run this arithmetic with your own minutes and your own value of an hour. Do not buy on someone else's saving claim.
Safety and accuracy rules for the whole team
- Never paste passwords, bank details, Aadhaar numbers or customer personal data such as phone numbers and addresses.
- Treat every price, date and legal or tax statement in an output as unverified until you check it on the official source or your own file.
- A human approves every outward message. Nothing goes to a customer directly from the tool.
- On consumer plans, be conservative about what you paste. Business plan workspaces state that business data is not used for training by default. That protection does not make pasting a full customer database sensible on any plan.
- Write a one page team policy: what may be pasted, what may never be pasted, and who checks outputs. Pin it where the team works.
Common mistakes
- Asking without context. No brief, no example, generic output. Fix the prompt before blaming the tool.
- Sending the first draft. The first draft is raw material. Your check is the product.
- Using it for live price or stock promises. It does not know today's price or stock. You supply figures, it formats words.
- Pasting a full customer list to clean it. Use a sample with personal details removed, learn the formula or method, then apply it yourself in the spreadsheet.
- Expecting it to know your business. It knows only what this chat and your files contain. Gaps in context become inventions in output.
Your seven day starter plan
Day 1: write the business brief and save two style samples. Day 2: WhatsApp replies. Day 3: quotation cover notes. Day 4: product descriptions for ten products. Day 5: meeting notes into tasks. Day 6: one SOP draft. Day 7: save the week's working prompts into a shared prompt library, note which jobs saved real time, and decide the plan question with the break even test above.
One job a day, checked properly, beats a weekend of random experimentation that the team abandons by Monday.
