A small team does not need fifty apps. It needs five tools, bought in the right order: Zoho Books for accounting and billing, Google Workspace for business email and documents, Zoho CRM for customer records linked to WhatsApp conversations, ChatGPT for drafting and summaries, and Canva for everyday design. Bought as named entry plans, that stack costs Rs 8,818 a month including GST for a six person team, based on the worked example later in this article.
Buy them one category at a time. Accounting first, because billing and GST records are compulsory work. Email second. The rest only when the problem they solve is actually costing you time or enquiries.
Prices in this article are as of November 2026. Vendor prices change, and most prices below exclude GST unless the article says otherwise.
The short version
| Job | Tool and entry plan | Price | Billing basis |
|---|---|---|---|
| Accounting and billing | Zoho Books Standard | Rs 749 per organisation per month | Billed annually, GST extra |
| Business email and documents | Google Workspace Starter | Rs 270 per user per month | Annual commitment, GST extra |
| Customer record and WhatsApp follow-up | Zoho CRM Standard | Rs 800 per user per month | Billed annually, GST extra |
| AI assistant for drafting and summaries | ChatGPT Plus for the owner, Go for staff | Plus Rs 1,999 per month; Go Rs 399 per month | Monthly, GST included |
| Design for everyday creatives | Canva Pro, one seat | Rs 4,000 per year for one person | Annual, tax treatment to confirm at checkout |
Three rules decide whether this stack helps or wastes money. Pay per user only for people who use the tool daily. Count GST before comparing plans. Stop at five: every extra subscription adds training, logins and one more place where information can be lost.
1. Accounting and billing: Zoho Books
What it replaces: the spreadsheet bill book, bills in a drawer, and a month-end scramble to give your CA clean records.
Zoho Books handles invoices, quotes, bills, expenses, inventory, GST reports and filing support, bank reconciliation, and profit and loss and balance sheet reports in one cloud system your CA can view directly.
| Zoho Books plan | Price per organisation per month, billed annually |
|---|---|
| Free | Rs 0, only while revenue in a financial year stays up to Rs 25 lakh |
| Standard | Rs 749 |
| Professional | Rs 1,499 |
| Premium | Rs 2,999 |
Prices exclude local taxes. Standard includes three users and up to 5,000 invoices a year, and is the sensible starting point for most small teams. Professional earns its extra cost only when you need project billing, multi-currency records or more users.
The honest limitation: Zoho Books is a cloud tool. It needs a working internet connection and a learning period for staff used to desktop systems or paper bills. The free plan stops once revenue crosses Rs 25 lakh in a financial year, so budget for a paid plan rather than treat free as permanent.
The Tally alternative: if your CA works on Tally and accounting sits in one office, TallyPrime may be the better buy. Do not fight your CA over software. Verified TallyPrime prices are Rs 750 a month plus GST, Rs 8,100 plus GST for 12 months, or a lifetime licence at Rs 22,500 plus GST for a single user, verified on the Tally Solutions site on 6 November 2026. Cloud and multi-location access favour Zoho Books. A single office with a CA on Tally favours TallyPrime.
Decision rule: start on Free only if revenue is below Rs 25 lakh. Move to Standard when billing, inventory or GST reporting becomes weekly work.
2. Business email and documents: Google Workspace
What it replaces: business mail from a personal Gmail address, quotations on one person's laptop, and price lists nobody can find later.
Google Workspace gives you email on your own domain, such as yourname@your-company.com, along with Drive, Docs, Sheets, Slides, Calendar and Meet. The quotation, rate sheet and customer file then belong to the business, stay searchable, and remain accessible when a staff member leaves.
| Google Workspace plan | Price per user per month |
|---|---|
| Starter, annual commitment | Rs 270 |
| Standard, list price noted in the package | Rs 1,080 |
Starter includes 30 GB of pooled storage per user. The Rs 270 annual commitment price was verified on the Google Workspace India page on 6 November 2026. Where introductory pricing is offered, it applies only to new customers, for the first 20 users, for 12 months. Budget on the standard price.
The honest limitation: the cost multiplies with every user. Six users on Starter cost Rs 1,620 a month before GST. Twenty users cost Rs 5,400 before GST. Standard is a large jump, and most small teams do not need 2 TB per user on day one.
Decision rule: buy Starter for customer-facing and office staff first. Move a user to Standard only when storage, meeting recording or document controls become a real constraint for that user.
3. Customer record for WhatsApp conversations: Zoho CRM
What it replaces: enquiry history across personal phones, follow-ups in one salesperson's memory, and the unanswered question: who spoke to this customer last, and what was promised?
Most small business enquiries in India arrive on WhatsApp. That is fine as a channel. It fails as a record. Zoho CRM gives each customer one shared record: contact details, enquiry stage, quotations shared, next follow-up date and notes, whichever team member handled the conversation.
| Zoho CRM plan | Price per user per month, billed annually |
|---|---|
| Free | Rs 0 for up to 3 users |
| Standard | Rs 800 |
| Professional | Rs 1,400 |
| Enterprise | Rs 2,400 |
| Ultimate | Rs 2,600 |
Prices exclude local taxes, as stated on the Zoho CRM pricing page verified on 6 November 2026. Start free. Three users are enough to test whether your team will actually update records.
A warning on scope: a CRM subscription is not the same as the WhatsApp Business API. The free WhatsApp Business app is enough for a catalogue, quick replies and labels while one or two people answer one number. The API, with its own channel and provider costs, matters when several staff must work from the same number at volume. Do not buy API access just because you bought a CRM.
The honest limitation: a CRM does not fix a messy sales process. If nobody records the next step after a call, the software will store an empty record. Setup also takes time: enquiry stages and follow-up rules must match how your team actually sells, or staff will work around it within a month.
Decision rule: stay on the free plan, or on a spreadsheet plus WhatsApp labels, until enquiries are being missed. Then buy Standard only for the people who sell: three users out of six in the example below.
4. AI assistant for drafting and summaries: ChatGPT
What it replaces: the blank page. First drafts of quotations, replies, product descriptions and summaries are slow work, and they usually fall on the owner in the evening.
Use ChatGPT for drafting, shortening, rewriting and summarising. Give it the facts, ask for a draft in your format, then check every name, number and commitment before anything leaves the business.
For pricing, this article costs one Plus seat for the owner at Rs 1,999 a month including GST, and Go seats at Rs 399 a month including GST for staff who draft daily. Rupee prices did not display in the draft-stage check of the ChatGPT pricing page on 6 November 2026, so these figures are package-sourced and date-stamped November 2026. Check the live page before you buy.
The honest limitation: ChatGPT can state a wrong price, date or rule with complete confidence. Never paste customer personal data, bank details, passwords or the live terms of an unfinished negotiation. Never send a draft with a figure you have not checked against your own records. It is a fast junior drafter, not a checker.
Decision rule: buy one Plus seat for the owner first. Add Go seats only for staff who draft or summarise every day. If a team member opens it twice a week, the free tier is enough.
5. Design for everyday creatives: Canva
What it replaces: waiting two days and paying a designer for every routine creative: a festival greeting, a product post, a price announcement or a catalogue page.
Canva Pro gives one person the brand kit, premium templates and resizing tools to produce clean, consistent creatives quickly. The same colours, logo and type style on every post make a six person firm look established.
Canva India prices in the package research are: free tier, Pro Lite at Rs 1,590 per year, Pro at Rs 4,000 per year for one person, and Business at Rs 6,800 per year per person. These figures are date-stamped November 2026 and package-sourced, because the Canva pricing page did not display prices in the draft-stage check on 6 November 2026. Confirm price and tax at checkout.
The honest limitation: Canva makes production fast. It does not supply taste or a brand system. Unedited templates can make your business look like every other user of the same template. Set up the brand kit once, limit the team to two or three approved layouts, and use a professional designer for a logo or packaging.
Decision rule: one Pro seat beats five free seats with no brand kit. Buy extra seats only when a second person produces design weekly.
What the stack costs: a worked example
A generic example: a Nagpur industrial supplies trading firm, six person team (owner plus five staff), turnover Rs 1.8 crore. Prices are the entry plans above, on annual billing where offered.
| Step | Item | Arithmetic | Cost per month with GST |
|---|---|---|---|
| 1 | Zoho Books Standard, whole organisation | Rs 749 plus 18 percent GST of Rs 134.82 | Rs 883.82 |
| 2 | Google Workspace Starter, 6 users | Rs 270 x 6 = Rs 1,620, plus GST of Rs 291.60 | Rs 1,911.60 |
| 3 | Zoho CRM Standard, 3 selling users only | Rs 800 x 3 = Rs 2,400, plus GST of Rs 432 | Rs 2,832.00 |
| 4 | ChatGPT: Plus for owner, Go for 2 staff | Rs 1,999 plus (Rs 399 x 2 = Rs 798), GST already included | Rs 2,797.00 |
| 5 | Canva Pro, 1 seat | Rs 4,000 per year divided by 12 = Rs 333.33, plus GST of Rs 60 | Rs 393.33 |
| Total | Rs 883.82 + Rs 1,911.60 + Rs 2,832 + Rs 2,797 + Rs 393.33 | Rs 8,817.75 |
Rounded, the stack costs Rs 8,818 a month, or Rs 1,05,813 a year.
Two choices here are deliberate. The example uses the Rs 270 list price, not a lower introductory rate, so it does not understate year two. It also buys CRM seats for three people, not six, because only three people sell.
Note on the Canva line: package research records Canva prices as shown before tax, so the example adds GST at 18 percent. Confirm the tax treatment at your own checkout.
What not to buy yet
This anti-list will save more than any discount code.
| Do not buy yet | Why not | Buy it when |
|---|---|---|
| An ERP system | Your five tools already cover billing, records, follow-up and documents at this size. An ERP adds implementation cost you do not need. | You run multiple godowns, complex manufacturing stages or inventory the accounting tool can no longer track. |
| A separate social media scheduling suite | One Canva seat and direct posting cover routine output. A suite manages a problem you do not yet have. | Posting volume grows to where one person cannot plan and publish the week without it. |
| Paid analytics tools | Books reports, CRM reports and Sheets answer the weekly questions: sales, margin by product, enquiry stage, follow-up status. | Ad spend or marketplace volume becomes large enough to need dedicated channel tracking. |
| Zoho One or any all-apps bundle, without a check | A bundle can be cheaper, but only if your team will use several apps in it and you accept all-employee licensing. Bundle prices in secondary sources conflict, so check zoho.com on the day you buy. | You have listed the Zoho apps your team will use weekly, and the bundle total beats separate plans for the same users. |
Common mistakes
- Buying per-user suites for every employee on day one. Seats should follow daily use. Add a seat when a named person needs one.
- Comparing prices without GST. Zoho and Google prices exclude taxes. ChatGPT India prices include GST. Mixing the two understates the real bill.
- Paying for a CRM before accounting is clean. Fix billing and GST records first. A CRM on messy records produces tidy-looking reports from bad data.
- Choosing a tool your CA cannot work with. Ask your CA before you pay: can you file and reconcile from this system without extra conversion work every month? If not, choose the tool your CA supports.
- Buying all five tools in the same week. Your team can absorb one change at a time. Accounting in month one, email in month two, CRM when the trigger arrives.
Decision rules: when to add each tool
By team size:
- 1 to 3 people: Zoho Books (free or Standard) and Workspace Starter for anyone writing to customers. Stay on free CRM or a spreadsheet. One ChatGPT seat at most. Canva free is enough unless you publish weekly.
- 4 to 10 people: the full worked example above. Paid CRM for selling users only, Workspace for customer-facing and office staff, one Canva Pro seat.
- 11 to 25 people: add seats by role, not headcount. Check whether Books Professional or a bundle now beats Standard plus separate tools, pricing both on the vendor site on the same day.
By type of business:
- Local retail: accounting and design matter most. A CRM can wait until repeat customer follow-up becomes a deliberate activity.
- B2B supply and trading: accounting, Workspace and CRM matter most, in that order, because quotations, records and follow-up decide repeat orders.
- Services: Workspace and CRM matter most after basic billing, because proposals, documents and follow-up dates carry the business.
Add a tool when the manual method fails visibly: a missed follow-up, a filing scramble, a document nobody can find. Do not add it because a competitor mentioned it.
Frequently asked questions
Accounting first, because GST records and billing are compulsory work. Email second. Buy a CRM only once enquiry volume makes chat history unreliable as your record.
